Your privacy is essential for bvba Relocation Belgium (hereinafter referred to as"Relocation Belgium", "we" or "us"). This privacy policy (hereinafter referred to as "Privacy Policy") is applicable, to (i) our website www.relocationbelgium.com , www.immigrationbelgium.com (hereinafter referred to as the"Website") and (ii) all (commercial) relations between RelocationBelgium and its customers, their employees and business partners.

RelocationBelgium wishes to emphasize that it always attempts to act in accordance with the EU Directive 95/46/EC.

This Privacy Policy includes information about the personal data collected byRelocation Belgium, as well as the manner in which Relocation Belgium uses and processes these personal data. It also describes the choices available to you regarding the use of, your access to and how to update and correct your personal data.

Visiting the Website and providing information or sending us documents for the purpose of using our services, whether made available to you directly by us or by our businesspartners, implies your express approval of the Privacy Policy and consequently how we collect, use and process your personal data  in accordance with the purposes described below.

Which personal data do we collect and process?

Relocation Belgium may collect and process the following types of personal data from you: · name, address and contact details including but not limited to phone number and email address · date of birth and gender · marital status including details about your children · professional and employment details · ID and/or passport number · national/tax identification number · information about your income and wealth including details about your assets and liabilities, account balances, tax and financial statements · housing details · trading history and performance.

RelocationBelgium may also collect and process the following information: · information concerning your use of the website · communication preferences · incoming and outgoing correspondence data.

In limited circumstances and as necessary for the relocation, we may also collect and use sensitive data such as health or disability data. We obtain consent from you where required under applicable law for the processing of personal data, including sensitive data, in cases where your employer (our client) has not done so on our behalf.  

How do we collect the personal data?

We may collect personal data about you when you provide it to us through the website, Relotracker, over the phone or by mailing it to us.  We also may collect personal data about you from your employer or other third parties such as our suppliers who provide services to you. 

The personal data collected will be used only to communicate with you and to help us provide relocation services to you in accordance with our client agreements.  

RelocationBelgium can also use your personal data for:  

  • Sending targeted marketing, advertising and updates based on your communication preferences;
  • Issuing invoices and collecting payment;
  • Optimizing the quality, management and content of services

On what basis are your data processed?

Your data are processes on the following basis:

  • Consent, regarding data collected by visiting our website;
  • A contractual relationship as soon as you proceed to selling our services.

In case you object to the processing of your data, please be aware that no contractual relation is possible, and that you can not continue to use our services.

How long do we store your personal data?

Unless a longer storage period is required or justified (i) by the law or (ii) through compliance with another legal obligation, Relocation Belgium shall only store your personal data for the period necessary to provide services to you or our client.

With who do we share your personal data?

To provide our relocation services to you, we often engage and coordinate third party suppliers, such as: · local authorities · immigration offices · health services · insurance companies · HR department of employers · real estate brokers · banks · immigration consultant · external consultants · anyone authorized by you.

These suppliers are given access only to the personal data that are needed to provide the specific service for which we contract them to provide. They are contractually bound to protect the confidentiality and security of your personal data. 

How do we protect your data?

Relocation Belgium undertakes to take reasonable, physical, technological and organizational precautions in order to avoid (i) unauthorized access to your personal data, and (ii) loss, abuse or alteration of your personal data.

Notwithstanding Relocation Belgium's security policy, the checks it carries out and the actions it proposes in this context, an infallible level of security cannot be guaranteed. Since no method of transmission or forwarding over the internet, or any method of electronic storage is 100% secure, Relocation Belgium is, in this context, not in a position to guarantee absolute security.  

Finally, the security of your data will also partly depend on the confidentiality of your password in obtaining access to Relotracker. Relocation Belgium strongly advises you, if you observe that someone has obtained your password, to immediately contact us. You should also take appropriate steps to keep your data, software and equipment secure.

How to control usage of your data?

For relocation and assignment services contracted through our clients, your employer, you will be asked to login to Relotracker and accept Relocation Belgium’s Privacy Policy. Please understand that if you choose to decline the Privacy Policy it will prevent the sharing of your data, and Relocation Belgium may be unable to provide services to you.

Upon request Relocation Belgium will provide you with data about whether we hold any of your personal data. In case your data changes, you can request to correct, update or remove the data that you gave us.

Right of access, correction, deletion, objection and data portability

In accordance with the general data protection regulation, you have the right to access, rectify and erase any data concerning you. You also have the right to object to its processing, within the limits of the legislation. You have the right to receive the personal data and to transmit them directly from one controller to another.  

You can exercise your rights:

  • Either by sending a letter or e-mail to: dpo@relocationbelgium.com
  • Or, if applicable, by going to your account on our website.

You also have the option of receiving no further newsletters and other marketing information by clicking on the "unsubscribe" button underneath each of Relocation Belgium’s emails. When you exercise your right to oppose receiving direct marketing, this objection only applies to the e-mail address given. In case you receive advertisements on more than one e-mail address, you will have to unsubscribe as many times. In the case that you unsubscribe per letter, it is important to clearly mention all e-mail address to be deactivated.

Transfer of personal data outside the EU

Within the contractual relationships between Relocation Belgium and its business partners, your personal data may be transferred outside the EU, in accordance with the purposes described above, including through inclusion in shared databases and managed by third parties belonging or not to Relocation Belgium’s sphere of control. The management of the database and the processing of such data are bound to the purposes for which they were collected and are carried out in full compliance with the privacy and security standards set out in the applicable personal data protection laws.

Whenever your personal data are to be transferred internationally outside the territory of the EU, Relocation Belgium will take all appropriate contractual measures necessary to guarantee an adequate level of personal data protection.

Cookies

Navigation on our website may result in cookies being sent to your computer.
